1. Who we are
Site Admin (site-admin.co.nz) is an email-management service designed for New Zealand construction site managers. It automatically labels incoming Gmail messages and files invoice PDF attachments to Google Drive.
2. Information we collect
- Account credentials — your email address and a hashed password when you create an account.
- Gmail data — message metadata (subject, sender, date) and PDF attachments accessed via the Gmail API through OAuth. We read messages only to apply labels and identify invoices.
- Google Drive data — we upload invoice PDF attachments to your Google Drive on your behalf.
- Usage data — aggregate counts of processed, labelled, and uploaded messages stored in our database.
3. How we use your information
- To authenticate you and maintain your session.
- To read your Gmail messages, apply labels, and detect invoices according to rules you configure.
- To upload invoice PDF attachments to your Google Drive.
- To display usage statistics on your dashboard.
We do not sell, share, or transfer your personal data to third parties for advertising or any unrelated purpose.
4. Data storage and security
Account data and usage statistics are stored in a database hosted on Cloudflare. OAuth tokens are encrypted at rest. Passwords are hashed with scrypt. All connections use HTTPS.
5. Data retention
Email content is processed in real time and is not stored after processing. Account data and usage statistics are retained for as long as your account is active. You may request deletion at any time.
6. Your rights
You can disconnect your Gmail account from the dashboard at any time, which revokes our access. To delete your account and all associated data, contact us at the address below.
7. Google API Services
Site Admin's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
8. Changes to this policy
We may update this policy from time to time. Changes will be reflected by the "Last updated" date above.
